Firefly Event Rentals provides event equipment rentals in American Fork, Utah and surrounding areas. This policy explains how we handle information through our website, rental services, and Firefly Booking Emails application.

Information we collect
We collect information you provide when you inquire or book, including your name, email address, phone number, billing and delivery addresses, event dates, rental items, order history, and communications. Payment providers process payment details; our rental records may include transaction identifiers, payment status, amounts, and limited card details such as brand and last four digits. Do not send full card numbers by email.

How we use information
We use information to prepare quotes, manage reservations and inventory, process and record payments, arrange pickup and delivery, send booking confirmations and service updates, answer questions, and maintain business records.

Service providers
We use providers to operate these services, including Booqable for the current rental website, Stripe for payments, and Google Gmail for business communications. Our new rental system also uses Supabase for customer and order records and OpenAI Sites hosting to operate the website. Information is shared with providers as needed for their services. Provider privacy policies also apply to their processing. We may disclose information where required by law or necessary to address fraud, security issues, or legal claims.

Google account access and booking emails
Firefly Booking Emails connects only to the Google account authorized by Firefly's operator. Customers do not need to authorize access to their Google accounts. The application requests the operator's basic Google identity and email address to verify the sender, and permission to send email through Gmail. It does not request permission to read the Gmail inbox or contacts. It uses this access to send reservation confirmations from [email protected] to the customer address supplied with an order.

The system stores the sender's authorization credentials as server-side secrets, along with confirmation content, delivery status, and message identifiers to track sending and prevent duplicate messages. Google receives the recipient address and message content when an email is sent. Google account information is not used for advertising, sold, or used to train generalized artificial intelligence models. Firefly Booking Emails' use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements. The operator can revoke access through Google Account permissions; revocation stops the application's Gmail sending access.

Cookies and technical information
Our website and service providers may use cookies or similar technologies for the shopping cart, sign-in, site operation, and security. Technical information such as browser details, IP addresses, and error logs may be processed to operate and troubleshoot the service. Browser settings can limit cookies, but some website features may stop working.

Retention and security
We retain information as needed to fulfill rentals, maintain accounting and business records, resolve disputes, and satisfy applicable obligations. We use access controls and server-side secrets to protect our systems. No internet service can guarantee absolute security.

Your requests
Contact us to request access to, correction of, or deletion of your personal information. Some records may need to be retained for accounting, ongoing rentals, or legal obligations. We may ask for information to verify your request. You can contact us about communication preferences; messages needed to fulfill an active rental may still be sent.
